Privacy policy
What we collect when you use this site or send us an enquiry, why we hold it, how long we keep it, and what you can tell us to do with it. Written to be read, not to be scrolled past.
Last updated: 7 September 2026
This policy is written to the UK GDPR, the EU GDPR, the Privacy and Electronic Communications Regulations, and, for visitors in the United States, the California Consumer Privacy Act.

1. Who we are
The Badminton Agency is the trading name of [registered company name], a company registered in [country] under company number [company number], with its registered office at [registered address].
For the purposes of UK and EU data protection law we are the data controller for the information described in this policy. That means we decide what is collected and what happens to it, and we are the ones you hold to account for it.
Our registration with the Information Commissioner's Office is [ICO registration number].
For anything to do with your information, write to partners@badmintonagency.com. A person reads that address, and we answer within one month.
2. What we collect
Information you give us
Everything in this group is typed into a form by you, and we only get what you choose to put in it.
| Where | What |
|---|---|
| The contact form | Your name, email address, organisation, country, the category of enquiry you pick, and whatever you write in the message box. |
| The quiz and its application form | The five answers you give, the route those answers point to, your name, email address, country, and phone number if you add one. Then a short set of fields specific to your route, such as discipline and ranking for a player, squad size for a coach, platform and following for a creator, or category and markets for a brand. Plus whether you ticked the consent box. |
| Anything you send to one of our addresses, including anything attached to it. |
We do not ask for special category data (health, beliefs, and the other sensitive categories the law lists) and you should not send it to us. If it turns up in a message anyway, we delete it.
Information collected automatically
- Server logs. Our hosting provider records the IP address, browser type and page requested for each visit, as a normal part of running and protecting a website. These are kept briefly and used for security and diagnostics only.
- Analytics. If, and only if, you accept analytics cookies, Google Analytics records which pages you read, how you arrived, roughly where in the world you are, and what kind of device you used. IP addresses are anonymised. We never see your name from this, and we do not try to work out who you are.
- Your cookie choice. Stored in your own browser so we do not ask again on every page. It never leaves your device.
If you decline analytics, no analytics script is loaded at all. It is not loaded and switched off, it is simply never fetched.
3. Why we use it, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry and have the conversation you asked for | Legitimate interests. You contacted us wanting an answer, and answering you is the whole point. Where the conversation is heading towards working together, it is also steps taken at your request before entering a contract. |
| Assess whether we are the right fit, and route you to the right person on the team | Legitimate interests. Placing an enquiry with the right regional lead is ordinary business administration and carries no risk to you. |
| Keep a record of who we have spoken to and what was said | Legitimate interests. Running an agency means knowing the history of a relationship. |
| Send you occasional email about our work, when you have ticked the box | Consent. Ticked by you, never pre-ticked, and withdrawable in one click from any email we send. |
| Understand how the site is used and improve it | Consent. Analytics cookies only ever run after you accept them. |
| Meet our tax, accounting and legal obligations | Legal obligation. |
Where we rely on legitimate interests we have weighed our interest against your privacy, and we have taken the view that the processing is what you would reasonably expect from an agency you contacted. You can object to it at any time, and we will stop unless we have a compelling reason not to. Section 8 explains how.
We do not use your information to make automated decisions that have a legal or similarly significant effect on you. The quiz sorts your enquiry into a category so a person reads it with the right context. A person makes every decision that follows.
4. Cookies and similar technologies
A cookie is a small file a site asks your browser to keep. This site uses as few as it can.
| Cookie or storage | Purpose | How long | Consent |
|---|---|---|---|
tba-consent | Remembers whether you accepted or rejected analytics, so we stop asking | 6 months | Strictly necessary, no consent required |
_ga, _ga_<id> | Google Analytics: tells returning visits apart from new ones | Up to 2 years | Only set if you accept |
No advertising cookies. No tracking pixels. No third party sharing of your browsing for marketing.
Rejecting analytics costs you nothing: every page, the quiz and both forms work exactly the same. You can change your mind whenever you like using cookie settings, and clearing your browser's site data also clears the choice, at which point we will ask again.
The site loads two typefaces from Google Fonts. That request tells Google your IP address, as any request to any server does. No cookie is set by it. If you would rather that did not happen, a content blocker will stop it and the site will fall back to a system typeface without breaking.
5. Who we share it with
We do not sell your information. We do not share it for anyone else's marketing. It goes to three kinds of recipient and no further.
- Service providers who work on our instructions. Our website host, the service that delivers form submissions, our email provider, and Google Analytics if you accepted it. Each is bound by a contract that lets them use your information only to do the job we gave them.
- Professional advisers. Accountants and lawyers, where they need it to advise us.
- Anyone we are legally required to give it to. A court, a regulator, or a law enforcement request we are obliged to answer.
If the business is ever sold or merged, information about clients and enquiries may transfer with it. Whoever holds it would be bound by this policy until they told you otherwise.
Introducing you to a brand, a rights holder or a third party is a conversation we have with you first. We do not pass your details to a commercial partner without asking.
6. Where your information is held
Our own records are held in the UK and the EEA. Two things can take information outside that area:
- Google Analytics, where data may be processed in the United States. Google is certified under the EU-US and UK extensions of the Data Privacy Framework, and we rely on that certification together with the UK International Data Transfer Addendum and the EU Standard Contractual Clauses.
- Our email and hosting providers, where support staff outside the UK and EEA may access systems. The same clauses apply.
You can ask us for a copy of the safeguards that apply to any transfer.
7. How long we keep it
| What | How long |
|---|---|
| An enquiry that does not become work | 24 months from our last exchange, then deleted |
| Client and talent records | The length of the relationship, then 6 years, which is the limitation period for a contract claim and the period our tax obligations require |
| Marketing consent and the emails sent under it | Until you withdraw consent, and then a minimal suppression record so we do not email you again by mistake |
| Analytics | 14 months in Google Analytics, then deleted automatically |
| Server logs | Typically 30 days |
8. Your rights
Under the UK and EU GDPR you can ask us to do any of the following, free of charge.
- Tell you what we hold about you, and give you a copy.
- Correct it if it is wrong or incomplete.
- Delete it, where we have no continuing reason to keep it.
- Restrict what we do with it while a dispute about it is sorted out.
- Object to processing we base on legitimate interests. If you object to marketing, we stop, full stop, with no balancing test.
- Receive it in a portable format, where we hold it on the basis of consent or a contract.
- Withdraw consent at any time. That does not undo anything done lawfully before you withdrew it.
Email partners@badmintonagency.com and say which one you want. We reply within one month, and we will tell you if we need longer because the request is complex. We may need to check who you are before we hand over personal information, which protects you rather than us.
9. If you are in the EU or EEA
The EU GDPR applies to you and the rights in section 8 are yours in the same terms. We have no establishment in the EU and, where required, will appoint an Article 27 representative; ask us and we will give you the current details.
You can complain to the supervisory authority in the country where you live, where you work, or where you think something went wrong. The list is published by the European Data Protection Board at edpb.europa.eu.
10. If you are in California
The California Consumer Privacy Act, as amended by the CPRA, gives you specific rights. In the last twelve months we have collected these categories of personal information: identifiers (name, email address, IP address), commercial information (the enquiry and the category it falls into), internet activity (pages viewed, if you accepted analytics), geolocation at a coarse country level, and professional information (your role, organisation, discipline or audience). Each comes from you directly, apart from internet activity, which comes from your browser. We collect it for the business purposes set out in section 3.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We have not done so in the last twelve months, and we have no plans to. We do not knowingly collect the information of anyone under 16.
You have the right to know what we have collected, to delete it, to correct it, to opt out of sale or sharing (which does not arise here, because there is none), to limit the use of sensitive information (we collect none), and not to be treated worse for exercising any of these. You may use an authorised agent, and we will ask for written proof of their authority. Make any of these requests at partners@badmintonagency.com.
11. Security
The site is served over HTTPS, so what you type into a form is encrypted in transit. Access to enquiry records is limited to the people who need it, protected by strong passwords and two factor authentication. We review who has access when someone joins or leaves.
No system is perfect, and anyone who tells you otherwise is selling something. If a breach ever puts your rights at risk we will tell the ICO within 72 hours and tell you without undue delay.
12. Children
Badminton is a sport that people enter young, so this matters here more than on most sites. This site is meant for adults. We do not knowingly collect information from anyone under 16 through it. If you are under 16, ask a parent, guardian or coach to make contact on your behalf. If you believe a child has sent us information, tell us and we will delete it.
13. Changes to this policy
When we change this policy we change the date at the top. If a change materially affects what we do with information we already hold, we will tell the people affected directly rather than leaving it to be noticed.
14. Contact and complaints
Talk to us first. partners@badmintonagency.com, or write to us at [registered address]. Most things are a misunderstanding that one email sorts out.
If we do not put it right, you can complain to the Information Commissioner's Office, the UK regulator:
- Online at ico.org.uk/make-a-complaint
- By phone on 0303 123 1113
- By post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
If you are in the EU or EEA, complain to your own national supervisory authority instead. Complaining to a regulator costs nothing and you do not need a lawyer to do it.
